Keystone Chess Academy provides after-school chess instruction to students in Chester County and the surrounding Philadelphia suburbs. This policy explains what information we collect, how we use it, and the choices you have. It applies to keystonechess.com and to our programs.
We are a small, family-run business. We collect the minimum information we need to run safe programs and communicate with families. We do not sell personal information.

Text messages
We send text messages to parents and guardians who have agreed to receive them.
These messages relate to your child's registered program and include schedule or location changes, cancellations, pickup issues, reminders, and urgent safety notifications.
Consent is optional. It is never a condition of registering for or participating in any Keystone Chess Academy program.
Message frequency varies. Message and data rates may apply. You may text STOP at any time to stop receiving messages, or HELP for assistance.
We do not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for their own marketing purposes. We share mobile numbers only with the messaging service provider we use to deliver messages on our behalf, and only for that purpose.
Children's privacy
Our website and registration process are directed at parents and guardians, not at children. We do not knowingly collect personal information directly from children.
Information about a student is provided to us by that student's parent or guardian at registration. We use it only to operate the program the student is enrolled in and to keep that student safe.
We do not use student information for advertising and we do not sell it. If you believe a child has provided us with information directly, please contact us and we will delete it.
Photographs and video
We ask at registration whether you give permission to photograph or record your child during the program for promotional or educational use.
If you do not grant permission, we will not use images of your child in our materials. If you grant permission and later change your mind, email david@keystonechess.com and we will honor that request going forward. Students are not identified by full name in our materials.
How we share information
We do not sell personal information.
We share information only in these circumstances:

Service providers. We use third-party services to operate our business, including website and e-commerce hosting, payment processing, email delivery, text message delivery, scheduling, and analytics. These providers may process personal information on our behalf and are permitted to use it only to provide services to us.

Coaches and staff. Instructors assigned to your child's program receive the roster for that program, including student names and authorized pickup names. All instructors are subject to Pennsylvania background clearances and are bound by confidentiality obligations.

Schools and facilities. Where a school or district requires participant information as a condition of hosting a program, we provide what is required.

Safety and legal obligations. We may disclose information where necessary to respond to an emergency, to comply with law, including mandated reporting obligations under Pennsylvania's Child Protective Services Law, or to respond to a valid legal request.
Cookies and analytics
Our website uses cookies and similar technologies to operate the site and to understand how visitors use it. We use Google Analytics and the Meta pixel to measure website traffic and advertising performance.
These tools may collect information about your visit and set cookies in your browser. Most browsers allow you to refuse or delete cookies through your browser settings. Refusing cookies may affect how parts of our website function.
We use advertising platforms to reach families who may be interested in our programs. We do not upload student information to advertising platforms.
Data retention
We keep registration and attendance records for as long as needed to operate our programs, meet our record-keeping and insurance obligations, and comply with applicable law. Incident reports are retained longer where required.
You may ask us to delete information we hold about you or your child. We will do so unless we are required to retain it.

Note that we will continue to send you essential messages about your child's registered program, such as a cancellation notice, by email even if you unsubscribe from marketing communications.
Security
We use commercially reasonable measures to protect the information we hold, including reputable third-party platforms for payments and data storage. Payment card information is handled by our payment processor and is not stored on our systems.
No method of transmission or storage is completely secure. We cannot guarantee absolute security.
Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top of this page. Material changes affecting how we use your information will be communicated to enrolled families by email.
