Afternoon Program Coordinator
(Part-Time, Remote) - Position has been filled

Keystone Chess Academy runs after-school chess clubs at nearly 30 elementary and middle schools across southeastern Pennsylvania. We are hiring a part-time coordinator to be the voice on the other end of the phone during club hours, supporting our coaches in the field and the parents whose children are in our programs.
Schedule
Monday through Friday, 2:00 to 5:00 PM Eastern. 15 hours per week. Fully remote, but you must be reliably available and reachable for that entire window. This is not a role you can do while running errands or driving carpool.
The first hour is for clearing overnight email, confirming the day's schedule, and reaching school offices while they are still staffed. Clubs run from roughly 3:00 to 5:00.
Your first day is intentionally a light one, with a single club running, so you will have a full afternoon to learn our systems and procedures before the regular schedule resumes.
What You Will Do

Answer and return calls and texts from coaches during club hours: running late, room changes, roster questions, a student whose parent has not arrived for pickup

Answer and return calls and emails from parents: registration, absences, schedule changes, refund requests

Contact school offices on day-to-day logistics: room access, dismissal timing, calendar confirmations

Clear the overnight inbox each afternoon so coaches and families have answers before clubs begin

Maintain daily attendance and roster records as needed

Send day-of communications to families when a session is canceled or a room changes

Handle registration and payment questions in our Wix storefront

Escalate anything involving student safety, an incident, or an upset parent to the Founder immediately

General administrative support as assigned
What You Will Not Do
Work directly with students. This is an administrative role with no in-person contact with children. Facility agreements, program renewals, pricing, and principal-level relationships are handled by the Founder.
Requirements

Excellent phone manner. Warm, calm, and clear. Parents will often call you when something has gone wrong, and you will be the reason it feels handled.

Strong written communication. You will send email to parents, coaches, and school staff under our name.

Comfortable with Google Sheets and MS Office, and quick to learn new web tools

Reliable high-speed internet and a quiet, professional workspace

Sound judgment. A large part of this job is knowing what you can resolve yourself and what needs to reach the Founder immediately.

Pennsylvania Act 34 (Criminal History) and Act 151 (Child Abuse) clearances. We reimburse the cost.
Nice to Have
Experience in a school office, camp, youth program, or another customer-facing administrative role. Familiarity with chess is not required.
Compensation
$23 per hour, paid biweekly by direct deposit. This is a part-time W-2 position.
Term
This position runs September 21 through December 11, 2026, covering our fall club season. We fully expect to renew for our winter and spring terms (January through May) and to add summer camp administrative hours for a coordinator who does the job well. This is the first hire in what will become a permanent operations role as Keystone Chess Academy grows.
